Read-only fields in gifts

Hi

We have recently discovered that when an amendment is made on a Recurring Gift, some fields become read-only, notably the Gift Aid Declaration fields. This also happens when posting to the Nominal Ledger, which we don't normally do but has happened in the past and sometimes happens by accident (read: temps).

So, my problem is that when updating gifts that have read-only fields, the update import doesn't go through and I get exceptions. Does anyone know how to get around this?

For example, today I wanted to terminate 12,000 Recurring Gifts and 650 of them had either been posted to the NL or had amendments, so I now have 650 exceptions. The fields the import was looking at are not read-only and are very simple, i.e. Constituent Id, Gift Link/Import Id, Gift Status, Gift Status Date, Attribute Category, Attribute Description, Attribute Date.

We are using RE7.84 in the UK.

Thanks for any help or sympathy votes

Ida

BB supply an "un-post gifts" plugin.

One thing to watch with it though, which probably applies to other people who do post regularly (on purpose), is that if you don't supply a query to use it will unpost ALL your gifts.
You also need to do it as the only logged in RE user.

Seeing as you don't normally post your gifts then for gifts that get posted by mistake this is probably the way to go. However it is not really good practise as you do not keep an audit trail. What you should be doing instead is making an adjustment to the gift when it has been posted and a further ammendment to the gift when there already is an amendment. If you the record already has a gift aid declaration on it then you will have to make a tax claim adjustment in both cases.

Brilliant, I'll give this a shot. Thanks!

Hi

We do use Adjustments & Amendments when amending amount or appeal coding but not when terminating a gift, which is what I was trying to do.

Thanks anyway
