Hi all! Administration has decided at each board meeting, each member should be assigned a small number of donors to call to thank. The board members will be given a printed sheet with the donor name, address, giving information (is this kosher?) etc. They are to note their conversation on the sheet and send it back to me for input.

My job, of course will be to track the 'phon-a-thon.' I would appreciate any suggestions! I have given thought to tracking it in actions, appeals, or each board meeting as an event. It all seems quite cumbersome.

We're getting ready to do exactly the same thing! I'm going to do all the tracking in Actions with the Board Member identified as the solicitor.

I personally would avoid adding each meeting as an event. Actions seem like the best choice to me, because you can actually assign the action of phoning specific donors to the specific board members through the action process.

I agree with the actions route. The action detail report is nice and you'd be able to see by solicitor all of one board member's actions, notes, etc.

As for the board meeting itself, I'd say it doesn't need to be its own event. An action would also do, as you can give it a type of meeting, the date, time, etc. and it is easily queryable to see who attended.

It sounds like you all work for my old boss. We put them in as actions, as a phone call with Action type of Donor thank you call. Any notes went in action notes and the BM was the solicitor. If the notes were really important, I admit to duplicating them by copying them to constituent notes as they would be more likely to be seen by users other than me. I changed jobs before we did any follow-up so I never had to pull the notes out for the second year's call but I bet they can be pulled.
