Our foundation would like to look at the daily hospital census to see if any of our major benefactors have been admitted - if so, a development officer would pay them a visit. Has anyone had any experience with this?

Yes, our Hospital has been using a "VIP" patient notification system for about 10 years now. When a major donor enters our doors, I automatically get notified with an e-mail that they are in the house. Our system is set up so it tells me which area the VIP is going to, i.e, surgery, lab, x-ray. Our Vice President then determines if a visit is appropriate. We usually do a "walk thru" the Emergency Room (if that's where they've entered) - just to notify appropriate staff. This system has worked extremely well and has been enthusiastically accepted by our VIP's. Good luck - it can pay off!
We are interested in setting up a system as you describe, but are in the
very beginning stages of trying to figure out how to accomplish this.
Do you have time to discuss? If you do, please contact me.
Thank you!

How is it set up that the patient registration knows that this particular patient is a "VIP"? We have an admitting list that is viewed by 3 key Administrative VP's...one being the Foundation's VP and we do this to look at possible board members, key community leaders, key contributors.. so I am wondering how it is that the admitting dept knew this individual was a key person? Or did I miss something in the discussion thread? Thanks. h
I probably should've explained how we accomplished this VIP patient notification system. Our Hospital uses "Invision" for registering patients. Our IT Department provided me with a "field" that I can access in the patients record. All I do is type in the letter "P" (which stands for Pillar). I manage the coding on my end. We have approximately 500 donors who fall into our VIP category, so it is quite manageable. IT has the system set so that when a VIP enters our doors, it recognizes this code and a printout of their entry is sent to my Printer. Sometimes it can use a lot of paper (as many as 30/day) but we'd rather manage it this way instead of our Vice Presidents getting socked with e-mails. We also do not "visit" a patient if they are just coming in for routine tests. We only visit those who are admitted, having day surgery or entering the ER. I routinely monitor this list and automatically code someone when they make a large gift if they are not already coded. I hope this idea helps some of you.
Terri, thank you so very much for sharing this process and it has been very helpful to learn about "Invision". I will investigate this to see if this is something that we may wish to do. h
