Receipt problem

I've just this January started to use Raisers Edge to do my charitable receipting. It has been working well for my members but I just inputted a member who made a gift-in-kind donation. For some reason now my receipt function will not find her. I ran a query for 'not-receipted' gifts this month and it shows up, but when I run the receipt funcion in Mail that says that no records match. Help?

If you click on the 'Gift Types' tab when you try and run the receipt you need to make sure that Gift-In-Kind is on the right side. Hopefully this will solve your problem.

Hmmm - I looked and everything is over on the "right side". It had to be something simple that I'm doing wrong.

The odd thing is that when I click on Merge it asks me if I want to select "acknowledged" or "receipted" or whatever and if I say "yes", it still can't locate the record but if I go into the gift record, the field is changed to receipted. So it can find it, it just won't make the receipt.

Are you running a conditional mail merge to produce your receipts? If so, what condition is used and does that gift have that condition?

I'm actually using the Receipt function from the Mail module. I created my own receipt so the receipt type is "custom data file".

Since I've had no trouble with the membership receipts, I figure it has to be something about the gift type (I've tried Other and Gift-in-Kind) or the Campaign which I just created new - Donations 2008 since this is my first group of donations. ?

If the field is changed to "receipted", then it won't issue another receipt. It is assuming it is already issued. Or am I misunderstanding here?

It does switch to "receipted" after I run the mail merge even though it actually tells me it cannot find a match. So I go in and manually switch it back to not receipted in order to try something new. I have even deleted it and started all over. I thinks it has done the receipts because each time I run the merge, it starts at the next available receipt number so it keeps going up even though it hasn't actually printed any receipts. And if I print a receipt report it only shows me up to #11 because those are theo nly ones it has actually done. So I have never actually seen the receipt. But for some reason it thinks it has created it.

When it asks you if you want to mark gifts as receipted, it does that, whether or not you've actually created the receipt - one of the quirks we've been trying to get BB to correct. That is to have the option of marking them AFTER you review or check the actual receipt.

So, if you answered yes, it assigned the next available receipt number to the gift even if you never actually completed the receipt.

It sounds like that particular gift record is not meeting whatever condition you set for your mail merge, so no actual word merge receipt is produced (which happens after the gift has been set to "Receipted".) Do you have a specific min/max gift amount set on the receipt program? Do you have it set for specific gift dates?

Are you including zero dollar gift amounts? I assume that the receipts are using the receipt amount and the standard receipt amount for GIK is $0.

Yes, that was it. I didn't think that I had made a conditional merge when I set it up, but I had and it was based on it being a cash gift, not a gift in kind or "other". So I switched that and voila.

Now, is there a way for me to get the receipt numbers to go back to 12 where they actually left off? It thinks it is at 18 now but it should be at 12.
