DATA ANALYSIS COORDINATOR DEPARTMENT: Development GENERAL SUMMARY OF DUTIES: The Data Analysis Coordinator reports to the Database Manager. The Data Analysis Coordinator is responsible for all data entry and will run reports and analyze data for use in the donor relations department and others. SUPERVISION RECEIVED: Database Manager SUPERVISION EXERCISED: None ESSENTIAL FUNCTIONS: •Data Analysis: Provide reports and analysis of data to the Donor Relations Coordinators and Resource Development Coordinators as needed. •Strategic Plan: Assist the Director of Resource Development and Database Manager to implement a networked system on the fundraising software that the Executive Team and Operation Smile staff can access and update specific fields as it pertain to donors. •Database Management: Assist the Database Manager in providing database support for Operation Smile in both domestic and international offices. Ensures quality control for data entry and conduct ongoing data clean-up. Incumbent will continuously merge/purge processing of data. •Coordinate the daily activities and work with the Director of Resource Development and the Database Manager to implement systems procedures for all Development fundraising processes such as: coordination of gift set-up, log-in of gifts and gift coding in fundraising software, donor information input and updates, tracking the status of donor gift through the data entry and acknowledgment systems, printing and mailing acknowledgements and pledge reminders promptly. •Coordinate direct mail database and all Development mailings to include but not limited to list selection, list processing. Perform other duties as it pertains to data systems. •Maintain confidentiality of donor database; online contributions, including processing and acknowledgements, and data entry of contribution. •Maintain and update website with correct donation reporting. •Monthly Report: Obtain monthly donor and prospect reports from fundraisers and produce monthly reports for the domestic and international Development Team. •Gift Processing: Notify the Donor Relations and/or Resource Development on any gifts that require special attention. Adhere to policies and accounting procedures for the proper receipt, acknowledgement, posting and bank deposits of charitable gifts; ensures accuracy of donor files, and audit trails for all gifts. •Pledge Billing: Coordinate the donor process, produce billing notices, handle inquiries, record payments, and issues acknowledgement letters. Prepares annual contribution statements for donors promptly. •Software Training: Help to facilitate database training to Operation Smile staff-individually or in groups. Incumbent assists with the development of training plan for each staff member to provide information and use relevant to their position and requirements of the database. •Other Duties as assigned or that becomes necessitated. QUALIFICATIONS: •Must be highly motivated, detail-oriented and well organized. •Be self-directive and capable of working with little supervision. •Excellent oral, written, and interpersonal skills. •Strong work ethic and be a team player. •Ability to work productively and juggle multiple tasks. •Posses a Bachelor’s Degree in Business Administration or equivalent Degree Additional Qualifications: This postion will be based from our International Headquarters located in Norfolk, VA. Relocation assistnace is not provided.
