Chaminade College Preparatory Title: Advancement Officer-Annual Giving/Raiser’s Edge Specialist
Department: Advancement Campus: Chatsworth, CA Reports To: Director of Advancement # Months per year: 12 POSITION SUMMARY The Advancement Officer supports the Office of Advancement and its advancement activities. The Advancement Officer provides administrative and database management support to the department in the areas of constituency management, gift reporting, prospect identification, cultivation, solicitation, donor recognition and tracking. The Advancement Officer acts as the point person on the internal components of The Chaminade Fund, including direct mail programs, prospect research, phone programs, acknowledgement and tracking. Additionally the Advancement Officer will assist the Advancement staff as needed in the areas of special event management. Responsibilities
Supports the philosophy, principles and characteristics of Marianist Education. Assures quality services to students, faculty, staff, parents, outside organizations and communities. Practices sound economic principles.
Maintains the advancement database to ensure all gift information is accurate and up-to-date. Develops policy and procedure manual for database management. Ensures updates to the system by coordinating database upgrades with software vendor and is responsible for keeping current with all system updates and training. Updates Office of Advancement staff on upgrades and system and reporting enhancements. Assists staff in running reports to obtain general or specific information to support advancement activities. Audits and confirms accuracy of lists. Provides statistical data to assist in monitoring fund-raising activities. Creates new lists as directed or to proactively meet advancement needs. Prepares routine and special queries for reports and event assessments. Utilizes database to create labels, lists, letters, etc.
The position manages the internal components of the Chaminade Fund, the annual fund appeal for the School, including direct mail, phone programs, solicitations, online giving prospect research and tracking.
On a regular basis, accurately processes and codes all gift receipts and acknowledgments per Department policy. Reconciles all records with the Business Office. Tracks outstanding annual and campaign pledges and monitors pledge payment activity and reminders. Reports activity to the Director and appropriate managers.
Works closely with the Registrar’s Office to ensure that all student family information is accurate and up-to-date on new and existing families enrolled in the School. Works with the Registrar’s Office and the Business Office to ensure uniformity and consistency of data across the departments.
Researches potential donors and prepares fund raising prospects profiles. Creates new prospect files and updates and maintains all prospects files.
Assists Director and Department Managers in the roll-out of all special events, committee meetings, etc., and meeting arrangements.
Composes drafts of correspondence to parents, donors and volunteers as directed.
Under the direction of the Director, oversees the workflow and training of the department staff in the area of database operations.
REPORTING RELATIONSHIPS Reports to the Director of Advancement and works closely with Managers. Inter-faces with all departments within the School, constituencies and outside organizations. Works closely with the Advancement Office Administrative Assistant regarding daily database activities. Interfaces with the Director of MIS on all database system software upgrades and changes. Acts as the main department contact with software provider. MINIMUM EDUCATIONAL BACKGROUND REQUIRED · BA/BS MINIMUM PREVIOUS RELATED EXPERIENCE REQUIRE · Minimum of two years in development/advancement or a related field.
· Must have experience in database management specifically with Blackbaud Raiser’s Edge SPECIFIC SKILLS REQUIRED · Computer skills in word processing, spreadsheets, data entry, database management.
· Must be able to work some evenings and weekends to support Department Special Events.
· Experience in Blackbaud (Raiser’s Edge).
· Must have strong interpersonal communications skills, judgment and discretion with confidential information.
· Must be able to multi-task, work in a fast-paced office and work with multiple priorities and deadlines with accuracy.
· Excellent verbal and written communication skills.
