Position summary: The Assistant Vice President of Development Services is responsible for the oversight and management of four programs (gift administration, alumni records, information technology and reporting services). These programs are large in scope; the university has over 470,000 living alumni records, 19 schools/colleges and 22 non-degree granting units and processes over 100,000 gift transactions annually. As a member of the Senior Management team this position is responsible for the strategic development, alignment and management of technical systems, gift processing, biographical maintenance and other administrative processes that facilitate the overall fundraising goals and mission of Office of University Development, the Development Community and the University community. The AVP will partner with various development and alumni relations staff across campus to identify and to implement beneficial solutions for providing infrastructural support, and will serve as OUD's principal liaison with other senior financial and IT professionals throughout the university. This position supervises 3 Directors, but has broader responsibility for over 30 staff members. Characteristic Duties and Responsibilities: * Manage a team of three program Directors, providing overarching strategic direction and leadership. o Seek synergies between the Gift Administration, Alumni Records and Information Technology Services teams. o Work with the managers to set and evaluate annual goals and progress. o Develop and sustain appropriate mentoring and training with their teams. o Create and facilitate a collaborative and proactive culture. * Create and implement an overarching strategic plan that supports the mission and priorities of the Office of University Development, prioritizes the customer support needs, promotes credibility among internal constituents and anticipates future needs of OUD and the university. o Engage in quantitative and qualitative analysis to determine best practices across the entire department, advocate for needed change, create and implement solutions and measure effectiveness. o Address evolving needs of the larger development community, and take the lead in its implementation by effective budgeting, acquisition and deployment of needed resources. o Oversee and research future electronic database conversation project and manage successful implementation to address needs of development community users. * Lead the Development Services staff in promoting and providing excellent customer service. Stay abreast of large scale user and training needs, and communicate as needed to the Development Services staff. Work with all OUD and satellite development staff to set priorities and best-practices processes. * Collaborate with OUD and larger community units on the electronic fundraising program, ef@M. This includes strategizing on web services integration and resource allocation, data interaction and integrity, and overall software services. * Responsible for the development and management of an approximate $3M Development Services budget. * Provide strategic oversight for the yearly financial audit process. * Maintain close working relationships with peers in the development community and other areas of the University to ensure optimal communication and resolution of business and technological operational issues. This includes but is not limited to the offices of: Chief Financial Officer, Chief Investment Officer, Information Technology Central Services and University of Michigan Administrative Information Services. * Perform other duties as assigned and required. Preferred Qualifications: * Bachelor's degree in information systems, business management or other financial area, or equivalent combination of education and experience, is required; Advanced degree preferred. * 10-15 years experience in higher educational fundraising and advancement services, or the equivalent combination of experience in front-line fundraising, stewardship and advancement services, or related information management/interactive media experience with an emphasis on customer and technical services. * Comprehensive understanding of the overall responsibilities of Development Services. This includes the subtleties of gift and pledge processing and reporting, the complexities of institutional biographical data, and the system support required to track prospects through the solicitation cycle. * Campaign experience, especially a track record of having participated in the planning stages of a comprehensive campaign effort, will be a distinct advantage. * Excellent communication skills, both written and spoken. * Significant and increasingly responsible experience managing a successful department, ideally in higher education. A history of staff recruitment, training, mentoring and integration of technical and data services staff. * Strong leadership qualities, including the ability both to delegate and to execute, thereby leading by word and by example. Proven ability to lead a team of individuals towards a common goal. * Advanced understanding of office methods, procedures, practices, and bookkeeping or accounting knowledge is necessary. Strong business analysis and project management skills, as well as knowledge of gift or financial accounting. An understanding of the relationships of these policies and procedures to those of the University as a whole is critical. * Ability to address critical needs which occur on short notice and require immediate action. Organization, prioritization, judgment and problem-solving skills essential. * Experience in large, diverse and complex organizations, as well as experience in key responsibilities for a database system conversion. * The ability to work collegially and collaboratively in a team setting.
