Development Assistant, PA

Job Title: Development Assistant
Reports To: Chief Development Officer

Summary: The primary responsibility of the Development Assistant is to provide support to all members of the Development Team relating to the organization's multi-faceted fund raising efforts which include: special events, direct mail appeals, sale items, on-line giving, grants, major gifts and planned giving.


Duties and Responsibilities include the following. Other duties may be assigned.
  • Provides basic clerical support including word and data processing to include correspondence, gift proposals and grant applications.
  • Answers phones and assists with incoming calls and messages.
  • Monitors completion of Fast Track letters.
  • Manages database requests for the department.
  • Prepares the agenda and takes notes at staff meetings.
  • Works with the Events module of the Raiser’s Edge database to record event registrations, enter seating assignments and track attendance.
  • Works with the CONVIO database to enter and confirm Walk donations.
  • Maintains files for the Chief Development Officer and Executive Director.
  • Tracks all grant proposals.
  • Assists with prospect research.
  • Manages the movement of event supplies to/from the Guardian offsite storage facility.
  • Prepares mail merges for in-house direct mail appeals including but not limited to Shimer, McLamb, Pie and Mrozinski.
  • Performs copying, faxing, filing as required.
  • Prepares packages for UPS shipment.
  • Assists at fundraising events as needed (possible evening or weekend activities on occasion).
  • Prepares all department invoices for payment and submits checks requests.
  • Prepares and mails all department thank you letters.
  • Assists with money counting as necessary following Chapter events.
  • Performs special projects, event support, assist other staff members as assigned.
  • Serves as liaison with the volunteer coordinator(s) of the Volunteer Program.
In addition, the following duties relate to coordinating the Chapter’s volunteer program, which should be considered a temporary responsibility of this position until a permanent home is found elsewhere.
  • Maintains and updates list of the Chapter’s volunteers, using the Volunteer module in Raiser’s Edge to record and track volunteer activity.
  • Processes requests from Chapter staff for help with various assignments by contacting and scheduling volunteers to assist as necessary.
  • Welcomes and orients volunteers to their assignments.
  • Follows up on new volunteer leads provided by ALSA and on-line inquiries made to the Chapter’s website.


Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:
College graduate preferred with 2-3 years of database entry and administrative experience, preferably in a non-profit development office setting.

Language Ability:
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Math Ability:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills:
