[supportingadvancement] Associate Director, Information Services, NY

Reporting directly to the Director of Information Services, manage the data entry operations in the Alumni Affairs and Development, Gift Services and Alumni Records office. Supervise two managers and a Group Leader, who are responsible for the hiring, training, evaluation of, and the day-to-day supervision of a 15-20 member data entry specialist team. In conjunction with the director, organize the staff and distribute the workload to ensure that comprehensive services are effectively delivered in support of the division’s goals and objectives. Develop processes and procedures that enable the staff to utilize the technical resources available and to provide effective customer service to internal and external constituencies. Monitor changes made to the technical resources and the division’s policies and procedures and make the necessary adjustments to the organizational structure and/or department’s operational procedures to enable the department to effectively meet the needs of the division. Analyze the knowledge, skills and abilities to perform their duties; develop a training plan to enhance the staff’s abilities to perform; and arrange for training resources to deliver the necessary instruction. Develop a quality assurance process to ensure that the information produced is accurate and complete. Monitor the work of the Gift Services and Alumni Records teams and evaluate the output based on established benchmarks and the goals and objectives of the department. Work with the area managers/group leader to make the necessary adjustments to support the needs of the division. Address stakeholder and donor concerns and seek resolutions for sensitive and confidential issues as appropriate. Qualifications Bachelor’s Degree and five to seven years of experience, or equivalent. Understanding of accounting/tax rules would be preferred. Must have a demonstrated the ability to effectively manage business operations, and supervising a large staff, focused on delivering customer service, high volume detailed information, quality assurance and mainstreaming operations. Must have demonstrated the ability to strategically plan operations and staff resources; design and implement processes and procedures; and assess staff skills and develop training plans to address needs. Experience managing in an environment where there was a high volume of data entry being performed would be preferred. Must have strong interpersonal skills, customer service skills and effective communication skills, both oral and written. Must be able to solve problems and make decisions. Must have demonstrated the ability to effectively supervise and motivate staff. Must be able to establish priorities, establish deadlines, production goals, and distribute work effectively. Must be organized, pay close attention to details and have the ability to work with highly personal and confidential information. Prior knowledge and experience working with Peoplesoft would be beneficial. Visa sponsorship is not available for this position.
