Boys & Girls Clubs of San Francisco is dedicated to providing children and teens with safe, fun places to learn and grow, with professional staff who offer support and guidance, serving as caring mentors, friends and role models. We offer a wide variety of programs and activities that support youth development, from technology and leadership skills to fine arts and athletics. Boys & Girls Clubs of San Francisco also offers access to health services, daily homework assistance and tutoring, as well as specialized programs for young girls and teens. Our mission is to inspire and enable all young people, especially those from disadvantaged circumstances, to realize their full potential as productive, responsible and caring citizens. Under the supervision of the Vice President of Development, the Database Manager & Development Associate will be responsible for administering the Raiser’s Edge database, managing prospect research on donors and assisting the Development Department staff in other fundraising activities, including individual and major donors, special events, volunteer management, and marketing. Specifically, this position will input all gifts, maintain the accuracy of the database, generate correspondence to funders, maintain donor and batch files, coordinate all donor research and run status reports in keeping with the strategic and financial objectives of the organization. The position requires constant interaction and coordination with members of the development staff. Key coordination and communication is necessary with the Finance Department. Skills/Knowledge Required: • Bachelor’s Degree or higher in related field. • Three years successful experience in database management - at least one year working with a Raiser’s Edge database. • Previous work with Development or Marketing department, experience with a capital campaign a plus. • Salary commensurate with experience. Skills/Knowledge Preferred • Make recommendations for maintaining integrity and efficiency of database. • Continue professional growth through training, conferences and classes. • Proficiently use word processing, database, spreadsheet and other fund- raising computer programs. • Proficiently use external reporting tools such as Crystal Reports. Job Responsibilities Gift Processing: 1. Code checks, according to chart of accounts. 2. Input financial gifts, including, but not limited to, gifts from events, campaigns, private grants, and government sources. 3. Input in-kind donations and assist with the in-kind process as needed. 4. Process checks as matching gifts, tributes, soft credits, pledges/pledge payments and/or solicited gifts when necessary. 5. Print thank you letters on a daily basis and conduct special donor acknowledgement projects as required. 6. Work closely with the Finance Department to ensure proper coding and tracking through a monthly reconciliation process and quarterly Board reporting. 7. Prepare and submit regular revenue reports and other status reports, as directed by the VP of Development. Database Management: 1. Ensure an accurate and current database of donors, prospects, and staff records. 2. Generate analytical reports, as directed, for funders, staff members, and Board members. 3. Coordinate with the IT Department to plan and implement necessary upgrades to Raiser’s Edge. 4. Work with the VP to develop and implement Capital Campaign data entry and reporting scenarios. 5. Maintain Raiser’s Edge processes and procedures manual; create new entries and training as necessary. Donor Management: 1. Create and maintain donor and batch files for Department. 2. Manage prospect research on donors and identify potential donors. 3. Coordinate input of prospect research into Raiser’s Edge and produce donor reports as needed. Other: 1. Assist in the set-up and implementation of campaign mailings, most notably, the Annual Fund and the Campership Drive, as well as event mailings. 2. Function as a team player: Assist as available/required to assure successful fund raising events, attend staff meetings and participate in brainstorm/strategy sessions.
