Assistant to the Vice President and Associate Vice President - Boston MA
Position Title: Assistant to the Vice President and Associate Vice President
Staff Group: Stewardship and Development Reports To: Campaign Manager Location: Boston, Massachusetts (onsite) FLSA: Exempt
Basic Purpose: To support all aspects of the work of the Vice President and the Associate Vice President of Stewardship and Development. To provide general administrative assistance to the Campaign Manager. To coordinate staff schedules, special projects, tasks, events, staff training, supplies and equipment, and assist staff group in hospitality and donor relations. To manage special projects as requested. To join the staff group team working to ensure excellent customer service. To assist with gift acknowledgements, donor relations and stewardship, prospect research, and special projects and events related to successful major gift and campaign fundraising.
Principal Responsibilities
1.Supports the Vice President and the Associate Vice President of Stewardship and Development: Provides general office and administrative support, including scheduling and confirming appointments, making travel arrangements, producing reports for donor prospect visits, recording and maintaining information in Raiser’s Edge and in staff group calendars, answering phones, composing correspondence, submitting expense reports, and managing filing.
2.Records and maintains information on major gift donor prospects: Records all donor prospect visits and contacts made by the UUA President, the Vice President, and Associate Vice President of Stewardship and Development. Manages a tickler system for follow-up steps. Assists with prospect research related to major gifts. Works with colleagues to ensure accurate and timely information is maintained in the data base and paper files.
3.Assists with gift acknowledgements, donor relations: Works as a member of a team to ensure timely, accurate and friendly service to our donor prospects. Writes thank you letters, makes phone calls, and helps conceive and implement special projects, such as fund raising for specific projects, or preparing and delivering reports to donor prospects. Work with others to ensure a welcoming and hospitable environment for guests and staff.
4.Assists with and sometimes manages fundraising and other projects and special events: Works as a member of a team working on events and projects. Assists with planning, preparations and sometimes travel to attend special events, such as meetings of the President’s Council and Stewardship and Development events at General Assembly.
5.Answers staff group Helpline and respond to e‑mail inquiries sent to development@uua.org and giftinfo@uua.org. Arrange staff group training, meetings, and special occasions as needed. Coordinate administrative office coverage during General Assembly and holidays.
6.Performs other duties as requested by supervisor, the Stewardship and Development Director of Budget and Operations, the Associate Vice President of Stewardship and Development, the Vice President of Stewardship and Development, the Executive Vice President, and the President.
This is an exempt Grade 9 position (minimum, $34,200; midpoint, $42,300). The ideal candidate will have experience working in a professional office environment, preferably in fundraising or non-profits, and a high level of proficiency in Microsoft Word and Excel; PowerPoint, Access, and/or Raiser’s Edge experience is a plus. Requirements include excellent verbal, written and interpersonal communication skills, an ability to interact with a variety of individuals and audiences graciously, and to deal with sensitive confidential information. Extreme attention to detail and strong organizational and time-management skills are critical, as are a demonstrated ability to work as a member of a team and a willingness to travel 2-3 weeks per year.
