Responsibilities include donor and constituent relations, gift management and office support for a dynamic fundraising and communications department with statewide functions. Provides administrative support to the Senior Vice President of Advancement in the coordination of fundraising and communications for the organization. Takes lead role in gift processing and maintenance of constituent records. Member of the statewide advancement team. Responsibilities - Responsible for comprehensive administrative support including correspondence, telephone, advancement files, donor reports, donor and constituent relations.
- Develop and maintain departmental filing system for corporations, foundations, and individual donors.
- Prepare correspondence for the Senior Vice President, including merged letters, meeting notices and individual donor/constituent letters.
- Processing gift batches in coordination with Finance to ensure accurate Raiser’s Edge records; prepare donor gift acknowledgment letters as required.
- Maintain Raiser’s Edge batch files, including copies of acknowledgement letters and information to support gift coding.
- Maintain confidential employee personnel files for department.
- Maintain records for staff leave, training and expense reports submitted to St. James administrative offices;
- Take minutes at board committee meetings, development meetings and other events as requested.
- Maintain petty cash and checking account for Advancement.
- Maintain inventory of office supplies and purchases items as needed.
- Other duties as assigned.
Position Requirements: - Bachelor’s degree preferred; minimum of two years experience in a professional environment required.
- Proficiency in Microsoft Word, Excel, PowerPoint and Access required; familiarity with Raiser’s Edge or other non-profit database systems preferred.
- Superior verbal and written skills are required.
