EngenderHealth, an international non-profit headquartered in New York City has an immediate opening for a Fundraising Assistant.
JOB SUMMARY:
The Program Assistant is an important member of the Fundraising Team and is expected to embrace the mission of the organization and the Fundraising Team’s mandate to support that mission through its activities.
The Program Assistant for Fundraising is primarily responsible for providing general administrative support to the Director of Development, as well as other members of the fundraising team. The Program Assistant also assists members of the Institutional Giving Team and works with other assistants in the External Relations Division, to support the flow of work and communications. In addition to administrative duties, the Program Assistant may be asked to lead specific projects or be the key contact for specific Fundraising initiatives.
RESPONSIBILITIES:
• Support the Director of Development and other Fundraising staff with various administrative duties, including photocopying, filing, and other duties as assigned. In addition, support the Institutional Giving Team with various administrative duties, including data entry, file management, and the creation of new project folders.
• Support activities related to incoming donations, including daily data entry (using Raiser’s Edge), photocopying of documentation, and preparation of donor acknowledgement letters, receipts and envelopes.
• Assist in conducting in-house mailings, including mail merges.
• Screen and direct to appropriate team member inquiries/requests received via telephone, email or mail from donors, potential donors, external agencies and other EngenderHealth divisions. Program Assistant may also be responsible for directly responding to inquiries/requests.
• Organize and maintain the fundraising team’s electronic and hard copy filing systems.
• Process invoices and expense vouchers.
• Maintain and update the fundraising team’s activities and travel calendars.
• Assist in organizing and executing events, including data entry, name badge and list preparation, taking RSVPs, etc.
• Assist in arranging travel, preparing for trips, and completing and processing travel expense reports.
• Open and appropriately route mail of fundraising team members in their absence.
• Edit and create documents and presentations as needed for the Fundraising and Institutional Giving teams using MS Word, Excel and PowerPoint.
• Post, maintain and update information and documents on the fundraising pages of EngenderHealth’s Intranet.
• Write and maintain minutes from meetings.
• Keep up-to-date inventory of supplies and materials and place orders when necessary.
• Oversee specific projects and/or serve as liaison to EngenderHealth staff for ongoing initiatives.
• Perform other duties as assigned.
EDUCATION, EXPERIENCE & CERTIFICATIONS:
• Bachelor’s degree a plus.
• Experience performing administrative tasks in an office environment.
• Experience or coursework in nonprofit management and fundraising is a plus, but not required.
KNOWLEDGE, SKILLS AND ABILITIES:
• Excellent computer skills in Word, Excel, PowerPoint, and familiarity with databases (Raiser’s Edge experience a plus).
• Ability to coordinate, prioritize, and organize workload; ability to meet deadlines, and work under pressure. • Good file management skills.
• Good teamwork and interpersonal skills; ability to work with and support multiple members of a team.
• Excellent telephone etiquette and ability to professionally address donor and external inquiries over the telephone.
• Good writing skills (including letter writing, spelling, grammar, proofreading, and formatting).
• Good judgment, discretion, and respect for donor confidentiality.
• Capacity to take initiative and work with minimal supervision.
