BASIC FUNCTION
Design, supervise and monitor the performance of all donor relations and stewardship activities, as well as support services to the advancement department, including database administration, gift receipt and acknowledgment, prospect research and tracking,

CHARACTERISTIC DUTIES & RESPONSIBILITIES:
Donor Relations and Stewardship
Work with the V.P. and Associate V.P to propose, as well as the Associate Director and other staff to coordinate, gift acceptance, acknowledgement and donor recognition policies and protocols, including the preparation of letters and reports sent to donors for annual and endowed, capital, in-kind, planned gifts, etc.
Work with the senior advancement staff to plan and develop a strategic donor relations program of events, communications and engagement activities.
Coordinate scholarship award information with the Business Office and Financial Aid, notifying donors and recipients of named annual and endowed scholarships; plan and execute programs and events to steward scholarship donors including thank you letters, meetings and receptions, etc.
Plan and oversee the execution of donor relations events, including annual recognition events such as the President痴 Circle Gala, campaign related events, and other events such as the Deborah Morton Convocation, etc.
Coordinate the involvement of volunteers and volunteer groups or engagement with other external groups and constituencies, such as the Friends of UNE, corporate and civic groups such as rotaries and chambers commerce, etc.

Database Utilization
Supervise the Associate Director for Information and other staff responsible for the maintenance and administration of the department痴 database, (Blackbaud Raiser痴 Edge) including proper gift processing and acknowledgement, accounting and reporting. Assess and implement the delivery of best practices and techniques for optimal utilization of the database and other information systems, including access to and sharing of records and research.
Work with other directors and administrators in the department to design and develop protocols and procedures for tracking and reporting fund raising activities and results (杜oves management?.
Work with the Associate Director to analyze departmental and individual training needs, develop and prepare specialized training materials, ensure that regular, appropriate and adequate training is provided and that proper usage is monitored.

Research and Reporting

Supervise and assist staff researcher in developing and maintaining systems for prospect research, including applications for wealth screening and reporting; design and prepare research reports as needed, briefings, call sheets or other background materials on donors and prospects, including individuals, foundations and corporations.
Work with the Associate Vice President to plan and deliver materials, training, or assistance to senior administrators, faculty within the colleges, trustees and volunteers to support their engagement in fund raising efforts.
Supervise coordination and delivery of action reminders and reports to directors and other senior administrators, including the Vice President, President, Provost and Deans, as well as Trustees and other volunteers as necessary.
Work with the Vice President and Associate Vice President to establish and develop systems and standard benchmarks for assessing individual and departmental efforts and performance; design and create regular and annual reports for the Vice President, President and the Board of Trustees.

Other

Supervise and work with the Office Manager to ensure effective administration of all departmental needs, including interoffice communications and coordination of administrative workloads, work study students and volunteers.
Collect and collate for purposes of monitoring and reporting budget and accounting reports for all divisions in Institutional Advancement; review with Associate VP and VP periodically or as needed and assist in the preparation of annual budget requests.
Understand and comply with the University of New England Safety Manual.
Perform other related duties as assigned.

Direct supervision of
Associate Director of Advancement Services
Records Specialist.
Coordinator of Prospect Research
Office Manager
Functional direction of part time employees, students, other UNE employees or contracted workers (facilities, food service) related to specific events or initiatives.

SUPERVISION RECEIVED:

General supervision received from the Associate Vice President of Institutional Advancement. Direction also received from the Vice President for Institutional Advancement, and occasionally the President. Functional direction received periodically from other directors and gift officers.


QUALIFICATIONS:
Bachelors Degree, with at least 2-4 years of relevant experience or a combination of education and experience, from which comparable knowledge and skills are acquired.
Minimum one-year experience operating a Blackbaud or similar relational database; utilization of Blackbaud or other donor relations database programs preferred and knowledge of Blackbaud and Banner fund accounts and accounting procedures desirable.
At least one year managerial experience supervising data-entry or administrative support staff.
Computer database management including spreadsheets, word processing and Windows 2000 or XP.
Experience with fundraising practices, knowledge of banking and gift acceptance procedures, and knowledge of training and adult development techniques.
Event management experience.
Donor relations or comparable experience working with committees or volunteers managing communication and involvement.
Non-profit experience preferable, higher education experience preferred.
