Records & Acknowledgments Assistant
Posting Period: October 10, 2007 until the position is filled
DESCRIPTION AND OBJECTIVES: Record contributions, gifts, and memberships, producing appropriate acknowledgements in a timely manner. Process includes creating or updating address and other information to ensure an accurate donor database. Produce standard reports as required.
DUTIES AND RESPONSIBILITIES: Accurately record all Development and Membership Department contributions, pledges, event revenues and Board dues from website, phone, mail orders and on-ground sales. Update and maintain donor records in a timely manner - create new records, maintain existing, review updates provided by other staff members, and maintain the integrity and accuracy of the database through regular monitoring. Prepare and process all appropriate donor acknowledgments and related collateral materials including but not limited to necessary tax receipts for all donors, and acknowledgment letters for annual donors of $75 or more. Work with Membership and Development to produce membership cards and coordinate basic benefit fulfillment for members and donors, utilizing volunteers as necessary. Coordinate with Membership Coordinator to ensure that they have the necessary information for Membership and ADOPT benefit fulfillment. Work with Gateway Pavilion and retail staff to ensure timely receipt and accuracy of on-grounds Membership, ADOPT and Development sales. Retrieve and process all website Membership and ADOPT orders and contributions. Other duties as assigned, including special events.
QUALIFICATIONS: High school grad required, BA/BS preferred. Successful candidate likely to have 2+ yrs experience in not-for-profit or allied development department. Must have comprehensive working knowledge of Raiser's Edge. Working knowledge of integrated office software systems required, Microsoft Office is preferred. Knowledge of general office and accounting practices and procedures helpful. Accurate text and numeric typing required. Strong attention to detail a must.
