Development Operations Coordinator - Boston, MA

Tufts-New England Medical Center is a world-class, academic medical center that encompasses a full-service hospital for adults and the Floating Hospital for Children, dedicated to all levels of pediatric care.

I. GENERAL SUMMARY:

Under the supervision of the Director of Annual Giving and Development Operations, the Development Operations Coordinator is responsible for coordinating and supporting important core fundraising systems and operations for the Development Office. This individual has primary responsibility for the integrity and effective operations of data management, donor records and information, and gift processing. This role will assist the team in its efforts to use data to identify prospects; increase major, planned and annual gifts; generate direct response and on-line giving revenue; and improve rates of donor retention. The Development Operations Coordinator will also implement and maintain policies and procedures that allow for smooth and effective functioning of the development operations effort.

II. PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

Oversees all matters related to the development database and associated computer systems to ensure effective and efficient operation of the Development Office. This includes: coordinating database management systems upgrades; designing constituent record criteria, consistent coding and quality control systems; managing data integrity; and ensuring that all processes and procedures are in place and being followed to ensure safe, secure data operations.

Functions as the department super-user and liaison with IS staff. Works with IS staff to complete software upgrades and updates.

Implements, maintains, and documents standard operating procedures for data management and development operations. Trains Development staff on database usage and appropriate protocols.

Creates standard report protocols and request processes for department users; generates revenue, analytics, external fundraising reports and other management reports; oversees major data entry and retrieval projects.

Works closely with the colleagues on data needs, including but not limited to reporting, querying, list development, project planning, tracking, ensuring updated information is transferred to constituent records before and after key activities, and updating and maintaining donor records. Creates a customer-service approach to data management and output.

Coordinates list and mailing production for major mail efforts, working closely with direct mail vendors and colleagues.

Working closely with the Director of Annual Giving, vendors and other colleagues as appropriate, coordinates daily aspects of direct mail, direct response and online programs by creating reports, lists, and queries; working with vendors to analyze data, coding, segmenting, tracking, and updating; and suggesting new ways to maximize the use of our data in service to generate greater direct response revenues.

Coordinates gift processing functions, delivery of acknowledgments, and daily work processes of gifts processing staff, temporary employees and volunteers to ensure accurate gifts entry and timely, appropriate gift receipt and acknowledgement. Backs-up gift processors in times of high volume. Maintains strict adherence to donor acknowledgement standards

Oversees usage of Prospect Management system for tracking notes and actions on donor prospects for major gifts, annual giving and corporations and foundations relations teams.

Assists with process of screening and rating prospective donor lists including requesting lists from IS; sending to screening vendor; and importing data back into RE.

Working with Director of Annual Giving, Special Events Coordinator, Development Marketing Coordinator and database consultants, manages usage of website management solution product including implementation and integration.

Performs other activities as needed and supports the efforts of the Development team, including helping with major events, meetings and other activities.

III. JOB REQUIREMENTS:


A. JOB KNOWLEDGE AND SKILLS:
  • Aptitude for data management with a strong interest in data quality and excellent computer skills.
  • Must be detail-oriented, possess a keen eye for detail and accuracy, and handle multiple tasks with frequent interruptions in a fast-paced customer service environment.
  • Prefer strong knowledge of Raiserç—´ Edge or comparable complex fundraising database; must also have Microsoft Word and Excel expertise.
  • Ability to pass on knowledge to others, train colleagues on work processes and data quality systems.
  • Good communication skills and a commitment to work in a team environment; must be able to interact with the public in a professional and courteous manner.
B. EDUCATION:

Bachelorç—´ degree or equivalent.
