TITLE: Donor Services Manager
LOCATION: YWCA, 5th & Seneca, Downtown Seattle
REPORTS TO: Director of Development & Community Affairs
DESCRIPTION:
The position requires a broadly experienced, highly creative, self-motivated leader who is able to effectively communicate the YWCA’s knowledge of data management needs and develop strategies that will continue to increase data integrity within the organization. The primary focus of the Donor Services Manager is to effectively lead the Donor Services team, who uses the Raiser’s Edge database daily to operate the business functions (billing, gift processing, acknowledgements, event registration, etc.) of the YWCA Development Department for optimum donor relations and strategic cultivation and solicitation activities.
RESPONSIBILITIES: Managerial
The Donor Services Manager will directly supervise four staff positions: Database Specialist Development Assistants (3)
Supervises staff; evaluates, and oversees workflow and performance. Creates and maintains benchmarks for setting staff goals; reports productivity to Development Director.
Manages the work flow and effectiveness of gift processing systems and staff, including deposits, data entry, acknowledgements, receipts, matching gifts and other outgoing material as appropriate.
Manages the work flow and effectiveness of event registration systems and staff, including guest registration, nametags, mailings, and gifts made at the event for three annual Benefit Luncheons, and occasional smaller events.
Serves as primary liaison with Development Dept. staff and other users (ie, executive staff, community affairs, and program staff). Works with Database Specialist to design, test and produce reports to meet data needs and donor segmenting strategies. Works closely with Development managers to create and refine detailed custom database generated reports. Provides analysis of donor data, reports and trends in giving patterns.
Enforces and ensures periodical updates and standard policies/procedures for database are accurate.
Coordinate timelines and work flow for Development support to annual audit reporting.
Identify, develop and implement system and process improvements.
Works with Database Specialist to assure that all users receive customized Raiser’s Edge training.
Database Administration
Oversees the maintenance and operation of Raiser’s Edge database: data integrity, user interface, database design and security. Work with the Database Specialist in the design and use of the YWCA’s centralized donor/volunteer database.
Responsible for processing United Way/Workplace Giving donations.
Responsible for Blackbaud NetCommunities application.
Develops and works with Database Specialist for database “clean-up” strategy (including a timeline) to purge unnecessary information, streamline data input and keep the database efficient and accessible.
Plans, facilitates, and leads donor/volunteer database users’ group meetings; continues to build development expansion team into one centralized YWCA database for multiple off-site programs.
Serves as the lead contact with Information Systems and Blackbaud, the vendor of Raiser’s Edge. Manages maintenance contract and vendor payments. Keeps abreast of hardware and software developments; evaluates and makes recommendations concerning upgrades, features and training opportunities.
QUALIFICATIONS:
A minimum of three years experience supervising technical staff; demonstrated ability to select, train, motivate, and inspire staff while holding them accountable for their performance. Ability to work effectively as a team leader as well as independently.
A minimum of two years progressively responsible experience using and managing a relational database management system, including some experience with Raiser’s Edge 7. Proficiency in the use of Crystal Reports a plus. Advanced computer skills with MS Office.
Excellent interpersonal, supervisory, and communication (including writing) skills.
Excellent attention to detail, strong project management skills and ability to meet deadlines. Ability to manage multiple complex tasks and maintain composure under pressure.
Knowledge of fundraising goals and best practices and how the donor/volunteer database supports these goals and influences these practices.
Physical demands of the job: Frequently sits for extended periods while performing desktop activities. Repetitively uses hands and wrists on computers and telephone.
RATE, HOURS, BENEFITS:
Full-time, Monday through Friday. Occasional extended hours required.
