Position Type: Full Time Job Region: ON - Halton/Peel Region Application Deadline: 6/7/2006 Location(s): Oakville Years Experience: 3 years The Community Foundation is a charitable organization formed to attract and manage permanent endowment funds and to distribute income from those funds back to the community. We provide grants to registered charitable organizations for projects that maintain or improve quality of life in our Town. We are currently seeking a full-time Database Administrator. This position entails the efficient day-to-day operations of gift recording, banking, grants, and fund management for the foundation’s donor and grant activities. This role is responsible for maintaining Foundation Information Management System (FIMS)for donors, vendors and committee members. the full range of administrative and clerical activities for a philanthropic organization, including assisting volunteers and other staff members with assignments. 8:30 am to 5pm (regular occasional overtime due to processing volumes and evening events outside of normal business hours are required) Responsibilities: Maintains the Foundation software for, gifts, funds, grants custom; uses database (FIMS) to its full potential and keeps database up to date Provides backup for Office Administrator in their absence. Oversees installation and maintenance, service of computer network system and office equipment. Responsible for donor fund statements, including merging and printing letters and statements, mailing. Responsible for establishing and setting up gift giving, funds, grants and reports as required. Responsible for all records relating to gifts, grant information, funds and committee members as required. Manages mail systems, which include incoming and outgoing mailings, courier deliveries and maintenance of all mailing lists in FIMS Ensures accuracy and authorization of all documents entered into FIMS. Prepares and processes administrative work for gifts and grants. Prepares and distributes all donor acknowledgement statements. Responsible for maintaining an effective efficient filing system for general office files, granting, donors, funds, and other files as needed Qualifications: Excellent computer skills are required. Experience with Fundraising database EXCEL, WORD, and Publisher Experience in an office environment, must be a multi tasker and able to work in a demanding position. Must be able to work in a team environment and be sensitive to procedures in small office setting. Accuracy of data entry and reporting, be able to work with accounting analysis, numbers and reconciliations. Ability to adhere to deadlines, work independently and in a team environment and accept willingly other tasks as assigned.
