ORGANIZATION: Children's Hospital is home to Northern California’s designated pediatric trauma center, the largest pediatric intensive care unit, and the largest pediatric emergency department west of Denver. With 181 licensed beds, Children’s medical center offers outstanding patient care and also supports nationally recognized pediatric teaching and research. The hospital improves the lives of our community’s children through cutting-edge research conducted at its nationally recognized Children’s Hospital Oakland Research Institute. Children’s Hospital Oakland is the medical safety net for East Bay children.
POSITION SUMMARY: Reporting to the Director Advancement Services, the Systems Analyst will assist with management of information services support areas, including the Raisers Edge database, the Foundation’s shared drive, and the hard copy filing systems. Responsible for writing user documentation, and designing and implementing end-user training in order to maximize usage of the development information systems, the Systems Analyst will also have responsibility for special Advancement Services projects and initiatives.
The incumbent is also responsible for providing needs assessments and ongoing Raiser's Edge end user training for all Foundation staff including classroom and one-on-one sessions; documenting policies and procedures; and addressing and resolving hardware and software issues. This person will be the first point of contact for end-user questions about, or problems with, the use of the Raiser's Edge database and will serve as a liaison to the Hospital Information Services in matters regarding the maintenance of hardware and software.
ESSENTIAL FUNCTIONS:
1. Comply with established hospital customer service standards.
2. Responsible for the generation of various data lists to support gift officers, including lists for event invitations, annual fund solicitations, and legacy giving programs.
3. Responsible for running a variety of standard reports, the Systems Analyst also supports the Prospect Research Manager in proactively encouraging gift officers and other foundation members to document their plans and activities in a timely manner in Raiser’s Edge.
4. Overseeing various data quality enhancement projects such as ·designing and implementing a more complete procedure for tracking trustee terms and other volunteer involvement; ·recommend and implement a schedule and procedure for updating the Foundation’s biographical data for alumni, and physician and staff-based giving ·providing special event technical support and staffing during peak event times (April – June)
5. Assist with special event data entry in order to provide increased data volume and quality. · Work with appropriate staff to more thoroughly record special event gift information in Raiser’s Edge, including tracking fair market value vs. charitable gift amounts in the gift data.
6. Develop and implement user-training classes to encourage and support the needs of end-users. Training should include personal computers, all supported software systems, and introduction to the development database. Serve as the primary point of contact for users with Raiser’s Edge questions, requests for standard reports, and list maintenance.
7. Enhance Foundation data integrity by developing and maintaining user manuals for information systems including the shared documents server, basic Raiser’s Edge biographical maintenance, the office collaboration software, and the hard copy filing systems.
8. Maintain Foundation Shared Drive. Provide orientation and training for new employees.
9. Establish standards for providing computer hardware and software support to Foundation staff. Identify and monitor software and hardware utilization, and anticipate growth areas and troubleshooting/problem solving needs. Serve as the liaison to the Hospital Information Services regarding issues with hardware and software.
SECONDARY FUNCTIONS: 1. Provide back-up gift processing during peak volume times in the months of April, May, June, December or January. 2. Assist in meeting Advancement Services’ goal of reducing acknowledgment turn-around time and ensuring top quality of donor acknowledgments. 3. Comply with Hospital and Foundation policies for maintaining confidentiality of data. 4. Perform other duties as assigned or requested.
POSITION REQUIREMENTS
Minimum Experience: · Bachelor’s degree required. ·Minimum five years experience in systems and database maintenance and development, including database design. · Experience with Raisers Edge and with training and providing user instruction on relational databases. ·Minimum one year working in a development/fundraising organization. Familiarity with donor relations and fundraising functions.
