Response Envelopes in Acknowledgement letters

Can anyone who currently includes a reply envelope in your gift acknowledgements please share your format/layout?

We've been tossing this around for awhile now and are finally ready to give it a try.

My VP recently attended a workshop at a conference and including a color envelope which says “for you to use for comments, questions, or for a future gift to PPC” was discussed. I am looking to have some produced but I am having trouble finding vendors who can produce the envelopes I am thinking of in color paper.

Are your envelopes in color paper, just color ink or just black on white? Is it a a #9 remittance envelope (with the large flap for them to write on before sealing) or simple #9 envelope and you include a separate response device. Can you send me a sample?

I am looking specifically for envelopes used in acknowledgments not basic remittance envelopes.

Thanks,

Melissa

My 2 cents. I have always hated the large flaps that donors write on before sealing. It seems that they don't feel that the envelope adhesive is enough so they would tape or glue or what not to close it. Then when it needed to be open half the information would be ripped off.

An idea may be to have an perforated form that is filled out and inserted into the envelope.

Tales from an ex-data entry.

Ours is a #9 with a large flap. Katherine makes an excellent point about being careful where you have fill in information. I've positioned the glue strip to attache to the disclosure statement and left plenty of room on the fold in the event of an overzealous envelope opener.

I just had 30,000 printed which cost $1,755 for the two colors. The .pdf is attached (I hope.)

Thank you Michael and Katherine,

I too do not like the full remittance envelope for all of the reasons discussed but because this is going to be designed to NOT look like a request for money we do not want to have to have them use a separate reply slip. It is intended to look like a courtesy envelope which in one small section has a place where they can check off that a gift is enclosed. Otherwise we are asking a bunch of other questions like to you want more info on planned giving, volunteering, hosting a party, etc.

I'd rather not have to create separate reply slips and have so many pieces we have to put into EVERY acknowledgement letter. And... last but not least... this is what my boss wants. LOL.
