How to import Stanford and OLSAT scores into Blackbaud?
Hello,
I am trying to figure out how to import Stanford and OLSAT scores into Blackbaud. I have received the data files from Harcourt Assessment Inc. and I am now trying to put them into a format for which we can import the data. Any help would be great. We have over 2800 scores we need to enter this summer and having a way to import them would be great and save a lot of time.
There are other members who are much more knowledgeable than I am when it comes to importing data, but something that has been mentioned numerous times is that some users find it very helpful to first do an export of the fields that you will be importing the data into (including the appropriate constituent and import ID #'s, of course). Then, using the output of that export as a template for importing your data.
If you need specifics on how to do that, I'm sure other members will be glad to help.
I am also going to be working on that this summer for one of the schools I work with. I have found that the best way to import is to export out a sample then import in the data. The problem I am having is what field's I need to import off of the Standford file. They have a document that directs you to the correct fields for information, but it appears that every question with a score displays. I am in the process of sorting out what field I really need, then I will export a sample with student import numbers and basically cut and pastefrom the Standford file to an import file. Not the most efficient method, but BB does not let you import data into a student record with out the import number.
I guess you could hook up a link in some type of database to look for student social security number to match, but not all of our students have ss#'s in our system.
No way to import into Test section of Education Edge
I looked at the import section of EE and found that there is nothing set up in the imports that allows you to import the test data into the "test" tab. Again, another frustrating aspect of the system. I am going to have to use an attribute (multiple) or have some one go in a manually enter in the test data in the Tab area. The only other option I see is to just attach a PDF in the media area, but that does not allow me to create any specific reports.
We import SSAT scores for our applicants into BB all the time - changing them into the format you need is the biggest problem. I ended up writing a nifty little Access program that moves all the data into the right columns and allows us to import without too much difficulty. If you select the Applicant type of import, you will see the fields that you need to import tests. - Gail
I did not find a spot in the import section to in admissions or registrar to do this. Are you going in the back end using the SQL database to do this vs. the application or are you using the imports under Admin to do this. What version of EE are you on?
We're on 7.61 but I know we did this on previous versions as well. What version are you using? I go to Import, click on Applicant. In the fields area, there is a division called Tests where you can import all the test info. - Gail

You can import test information through a regular Student Import. The fields are is the same order as the tabs on the student record. If create a new Student Import go the Fields tab, and you scroll down the the field list on the left, Tests are about three quarters of the way down.
