Unhappy One Donor's Tribute Data is Appearing on Everyone Else's Record in CR 8.5

I am very new to Crystal Reports 8.5. I have taken training about 6 weeks ago, unfortunately, using RE7, CR 8.5, etc. is only a small part of my job. And not used daily.

I had a weekly financial report on donations that was working fine. It listed Fund ID & Description, Gift Date, Amount, Constituent, Payment Type, Card Type, Appeal, Check Date, Check Number, and a Gift Matching Reference. We recently had an "in Honor of" type Tribute. I decided to add the Tribute Type, Tribute Description and Tribute Name to the report.

I modified the export and saved to a new name and then did the same to the original report. What happens is that it pulls the data for the donor and the tribute information for the that one donor. BUT, for every other record in the report, it ADDS the same tribute information to their records as well.

Can someone tell me in "simple" terms what I've done wrong?

SECOND QUESTION: Where can I get information to better understand the database linking? I always seem to end up with duplicate links in the database fields. You know, CnBio, CnBio_1, etc.

Addition:

I did find that the Tribute database is NOT linked. I can't seem to link it. Though the data does appear, it just appears for everyone. Could this be the problem?

Final question:
Once the report is fixed. Is there a way to suppress entire lines if there is no gift matching or tributes associated with a gift? It would save a lot of space on the report.

There is a text field on one of those lines.

Hi, Debra.

When two tables are included and not linked on a key, all the records from one table are matched with all the records from the other table. In this case, that means your one tribute appears on all the records.

It's been a while since I've dealt with Crystal, but if remember correctly the keys all have unique names. Find the key (ending with _LINK) in the tribute table and figure out where the other field with that name is, probably the constituent table, and link them up.

Hi Allan,

Sorry for not responding sooner, I was out of the office Tuesday and we had a delayed Daylight Savings time issue with one of our servers yesterday. It took us 7 hours to resolve!

Back to Crystal...I looked at the table links and there is nowhere to link the Tribute table info. All the other tables showed in the linked area. The Tribute table shows up in Unlinked, Visiible Table area. I don't know how to make it linked. Any suggestions on what I did wrong? I also have tables that seem to be duplicates.

Try verifying your database. Open up your Crystal Report and go to Database > Verify Database.

When you added your tribute table, it would have added the link field to the appropriate parent table. Crystal does not automatically update the field list, so this field won't appear. When you verify your database, Crystal will check to ensure that the table structure hasn't changed and will update any tables that have changed.

This will probably correct the problem, but it's possible that you may be missing one of the tables that links the tribute info to the rest of the report.
